A reference letter is a common support tool for job applicants. Recent college graduates often ask professors for reference letters, while accomplished professionals typically lean on colleagues, coworkers and supervisors to write them. While a date is commonly included in the formatting of a reference letter, its validity is left up completely to the organization or hiring manager to whom you present it. A University of Washington “Reference Letter Template” doesn’t even include a date, though the focus of the template is on the content and not the header.
A California Institute of Technology template does indicate the date goes in the upper left, just below the top company header. The point of the date on a reference is to establish the timeline of the author’s relationship with the candidate. If the writer indicates he has known the subject for two years, the date indicates how recently that point is valid.
Generally speaking, a hiring manager won’t pay much attention to whether a reference letter has a date. He is more likely to focus on the overall look, structure, grammar and spelling. If the letter is poorly written, it may not positively impact the hiring manager. A missing date is not significant if it is obvious your relationship is current, such as if your current manager wrote it, or if it’s from a professor at a school where you just earned a degree.

In these proceedings, the employer argued that there was an important reason for the deviation from the draft reference letter, due to the principle of the truthfulness of the reference. According to the employer, this principle required him to date the reference letter to the day on which it was first issued. However, that is not the case. The Court argued that it is common practice in the professional world and has also been approved by rulings of the highest labor court to date reference letters to the day the employment relationship legally and effectively ends.
This not only creates legal certainty, but it also prevents possible speculation as to whether a dispute has arisen about the issuing and contents of the reference letter. Such could arise if a longer period elapsed between the legal termination of the employment relationship and the date a reference letter is actually issued.
